How to add crew members and manage opt-ins

Adding Crew Members

Before crew can submit receipts, they need to be added to your production and opt-in to SMS.

Add a Single Crew Member

1. Go to your production page

2. Click the Crew tab

3. Click Add Crew Member

4. Enter their details:

- Name: Their full name - Phone: Their mobile number (we'll format it automatically) - Role: Optional - their department or title

5. Click Add

Bulk Import via CSV

For larger crews, import from a spreadsheet:

1. Click Import CSV

2. Upload a CSV with columns: Name, Phone, Role (optional)

3. Review the preview - we'll highlight any formatting issues

4. Click Import All

CSV Format Example:

Name,Phone,Role

John Smith,555-123-4567,Set Dresser

Jane Doe,555-987-6543,Props Assistant

The Opt-In Process

After adding crew members, they'll receive an SMS:


Hi [Name]! You've been invited to submit receipts for

[Production Name] via Olivine. Reply YES to opt in.

Opt-In Status Badges:
  • 🟢 Opted In: Ready to submit receipts
  • 🟡 Pending: Waiting for their YES reply
  • 🔴 Opted Out: Declined or texted STOP

Resending Opt-In Requests

If someone didn't get the message or needs a reminder:

1. Find them in the Crew list

2. Click the ••• menu

3. Select Resend Opt-In

TCPA Compliance

We follow TCPA guidelines for SMS consent:

  • Crew must explicitly opt in before receiving messages
  • They can text STOP at any time to opt out
  • Message and data rates may apply
